The agency has an emergency food pantry, social service office, adult training facility and a retail thrift store which also serves as a source of free clothing and household goods for clients.

Administrative Assistant/HR Specialist

Job Description

 

The Jonnycake Center of Westerly seeks a full-time professional to wear two organizational hats as both Human Resource Specialist and Administrative Assistant. In both roles, this individual will act as support to our Leadership Team.

 

HR Responsibilities:

 

  • Maintains the work structure by updating job requirements and job descriptions for all positions and maintains historical human resource records on all past and current employees.
  • Maintain both the Center’s Time Clock system as well as our online Payroll Client, ensuring that biweekly payroll is accurate and pushed in a timely manner.
  • Maintains a pay plan by conducting periodic pay/hours surveys in coordination with the bookkeeper and the Department heads.
  • Maintains employee benefits programs and informs employees of benefits available as well as recommending benefit programs to management and directing the processing of benefit claims.
  • Ensures legal compliance by monitoring and implementing applicable human resource federal, state, and local requirements.
  • Maintains management guidelines by preparing, updating, and recommending human resource policies and procedures.

 

Administrative Assistant responsibilities:

 

  • Prepare all deposits for the organization ensuring that all funds are processed timely, accurately logged in or donor management system, and that thank-you correspondence has been generated. Assist with bookkeeping/accounting functions as appropriate.
  • Process mail daily for the Center and maintain a log of all incoming and outgoing mail.
  • Handle all of the Center’s supply ordering, include collecting requisitions, appropriate approvals, and submitting orders. Anticipate needed supplies.
  • Fielding general calls and inquiries.
  • Willingness to perform other duties as required and assist with overflow of work.

 

Skills to include:

 

  • Exceptional customer service skills.
  • Knowledge of Benefits Administration and Employment law.
  • Ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
  • Ability work within deadlines and manage projects to completion.
  • Ability to juggle multiple projects with superb accuracy.

  • Strong sense of urgency and problem solving skills.
  • Strong organizational and planning skills.
  • Sensitivity with confidential matters.
  • Proficiency in MS Office.

  • While preforming duties of this job, the employee is frequently required to talk and hear.
  • Standing, walking, and sitting are all requirements of the position.
  • Occasionally the individual may be required to lift and/or move more than 10 lbs.

 

The candidate should have the ability to work independently but also be able to work with a team of people on a daily basis. This position is vital to the daily function of the Center. The ideal candidate will integrate themselves into the fabric of our organization, having a working knowledge of each department and their needs, and be able to prioritize issues accordingly. The Administrative Assistant/HR Specialist should be able to field some concerns for the Executive Director, and fill-in as needed for various meetings and assignments.

 

Qualifications:

 

Bachelor’s Degree preferred and equivalent professional work experience.

Real Jobs Education Coordinator

General Description:

 

The Education Coordinator serves as a member of the Social Services Team at the Jonnycake Center of Westerly, navigating unemployed and underemployed adult into our training program. As a facilitator of The Westerly Regional Real Jobs Program, the Education Coordinator recruits, screens, and ensures that all students progress successfully through the program by providing supportive Case Management.

 

Primary Job Functions:

 

  • Recruit and screen potential students.
  • Supervise and proctor pre and post CASAS testing, and direct student candidates to appropriate training opportunities (either into Real Jobs or into existing programs through adult education partners).
  • Work with Real Jobs students to identify barriers to student’s educational progress – referring students to internal or external professional services as appropriate.
  • Maintain complete, accurate, and confidential case files.
  • Coordinate with the teaching staff to monitor attendance and submit timesheets to lead applicant.
  • Work closely with other staff, employer partners, subgrantees, and educators to maintain program success.
  • Make personal contacts and actively develop employer relationships for internship/job placement. Connect weekly with employers during internships – collecting weekly status reports.
  • Monitor academic progress, evaluate program goals and objectives, and report outcomes to Real Jobs Management Team and Department of Labor.
  • Perform other duties, as may be required.

 

Qualifications:

 

Bachelor’s Degree in Education or Human Services or related field.

 

Experience with program management, reporting requirements and working with diverse populations.

Social Services Program Director

Job Description

 

The Jonnycake Center of Westerly seeks a full time Social Services Program Director to work in coordination with other members of our Leadership Team to deliver the programs and services offered by the Jonnycake Center of Westerly.

 

Job Title: Social Services Program Director

 

Responsible to: Executive Director

 

The Program Director, part of the senior management team and reporting to the Executive Director, oversees the coordination and administration of all aspects of ongoing social services programs, including planning, organizing, staffing, leading, and controlling program activities.

 

Primary Job Functions:

  • Ensuring the delivery of each program and its activities in accordance with funding guidelines and the mission and goals of the organization.
  • Developing new initiatives as well as long-term goals and objectives to support the strategic direction of the organization.
  • Working with the Director of Development to create a framework for program evaluation and reporting- assessing the strengths of programs and identifying areas for improvement.
  • Developing forms and records to document program activities and overseeing the collection and maintenance of client records according to the confidentiality/privacy policy of the organization.
  • Maintaining a monthly budget for community financial aid requests.
  • Completing monthly agency reports- both internal and external.
  • Representing the Center as a member of various committees and workgroups.
  • Hiring, training, and managing a small but well-qualified program staff.

Strong computer skills, specifically Microsoft Excel, is also important. Some driving to offsite meetings is also required.
